Indicative retention periods for Elite Rides Driver data categories. Periods are drafts pending attorney and compliance review.
1. Introduction
This Data Retention Schedule (DRAFT — attorney review required) provides indicative periods for how long Elite Rides keeps categories of driver-related data. Actual retention may be shorter or longer based on legal holds, investigations, tax rules, or product needs. Backup systems may retain copies until backup windows expire; deletion is not always immediate or permanent across all replicas.
2. Principles
• Keep data only as long as needed for the purposes in the Privacy Policy • Prefer deletion or de-identification when no longer needed • Honor legal holds and lawful preservation requests • Align operational backups (for example export retention windows on the order of ~30 days for certain backup buckets) separately from primary store retention
3. Indicative Schedule
Account profile (Firestore): retained while account is active; after deletion request, removed from active systems within a reasonable period subject to exceptions below. Firebase Auth credentials: deleted when account deletion completes in Auth (subject to Google/Firebase processing times). Identity documents & verification selfies (Storage + metadata): retained while needed for eligibility, re-checks, fraud/safety, and legal obligations — indicative up to the longer of account life + 3 years or applicable legal minimums (counsel to confirm). Trip & location operational records: indicative 3–7 years for safety, disputes, and regulatory needs (counsel to confirm per market). Earnings / payout metadata (including Stripe-related IDs when Connect enabled): indicative 7 years for tax and financial recordkeeping. Appeals & suspension records: indicative 3–5 years after resolution. FCM tokens: retained while device/app association is active; refreshed or removed when stale or on logout/deletion. Crashlytics diagnostics: retained per Firebase/Crashlytics product defaults and our operational needs (typically shorter than trip financial records). App Check / security signals: retained for limited security windows unless tied to an investigation. Support correspondence: indicative 3 years after closure of the ticket. Website logs: indicative 30–90 days unless needed for security investigation. Scheduled backups / exports: retained per backup policy (commonly on the order of 30 days for soft-delete/object retention on backup buckets) then aged out.
4. Exceptions
We may retain data longer when: • Required by law or court order • Necessary for an active safety, fraud, or legal dispute • Needed to enforce agreements or defend claims • Stored in immutable backups until rotation completes
5. Relationship to Deletion Requests
Account deletion requests are handled under the Account Deletion Policy. Categories listed as retained for legal/financial reasons may be kept in a restricted form even after an account is closed.
6. Updates
Counsel and operations may revise periods. The published version and effective date will change when updates are approved.
